1. Who we are

Scopebase is a free job planner for UK DIYers. Scopebase is a trading name of Mohammed Ahmed, a sole trader. In this policy, “we”, “us” and “our” mean Mohammed Ahmed trading as Scopebase, the controller of your personal data.

Our postal address is Scopebase, Office 22299, 182–184 High Street North, East Ham, London E6 2JA.

We're registered with the Information Commissioner's Office (ICO). Our registration reference is ZC294264.

If you have any questions about this policy or your data, email us at hello.scoped@gmail.com or use our contact form.

2. What we collect

We only ask for what we need to run your account and plan your jobs.

  • Account details: your first name, email address, a securely scrambled (hashed) version of your password, and what best describes you (DIYer, freelancer or small business). We never store your password in readable form.
  • Optional profile details: last name, mobile number, postcode, town or city, and DIY experience, if you choose to add them.
  • Your jobs: the job descriptions you type, your answers to our questions, and the plans you save or share.
  • Support messages: your name, email, topic, message, any screenshots you attach, and a link to the plan you were looking at if you used “Report a problem”.
  • Waitlist: your email and interest if you join the freelancer or small business waitlist.
  • Marketing choice: whether you'd like emails about new features and jobs, and when you told us.
  • Technical details: when you signed up and last logged in, and basic security records such as your IP address, which we use to limit repeated requests and keep accounts safe.

We don't collect your date of birth, payment details or any special category data such as health information. Please don't include personal details such as card numbers or passwords in messages or screenshots.

3. How we use your data and why

  • To provide Scopebase (create your account, work out your plans, save and share jobs, send password reset and account emails). Lawful basis: performing our contract with you.
  • To keep Scopebase safe and working well (preventing misuse, limiting repeated requests, fixing problems, reviewing prices people report, and seeing which jobs people ask for so we can add new ones). Lawful basis: our legitimate interests in running a secure, useful service.
  • To answer your support messages. Lawful basis: our legitimate interests in helping you, or our contract with you.
  • To email you about new features and jobs, only if you tick the box. Lawful basis: your consent, which you can withdraw at any time in your Account page.
  • To meet legal obligations, for example responding to lawful requests from authorities.

We don't sell your data, and we don't use it for advertising.

4. Who we share it with

We use trusted third-party technology providers to run Scopebase. They process data only on our instructions and only as needed to provide their service:

  • Hosting and database providers, which store your account and jobs.
  • An email delivery provider, which sends password resets, account notices and any emails you've agreed to.
  • A secure file storage provider, which holds support screenshots privately.
  • Technology providers that help us read your job description and write your plan in plain English. Only the text you type is sent, not your account details.

Some of these providers may process data outside the UK. When that happens, we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement.

We may also share data if the law requires it, or to protect the rights and safety of our users or others.

5. How long we keep it

  • Account, profile and saved jobs: until you delete your account. Deletion is permanent and immediate.
  • Shared plan links: they stop working after 30 days.
  • Support screenshots: deleted 90 days after your request is closed, or straight away if your account is deleted.
  • Support messages: kept while useful to help you. If your account is deleted, your name and email are removed from them.
  • Password reset links: they stop working after 60 minutes or once used.
  • Security and admin records: kept for at least 12 months. They don't contain your details after your account is deleted.
  • Waitlist entries: until we launch that version, or until you ask us to remove you.

6. Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you (you can download a copy any time from your Account page)
  • have inaccurate data corrected (you can edit your details on your Account page)
  • have your data deleted (choose “Delete my account” on your Account page)
  • object to, or ask us to restrict, how we use your data
  • ask for your data in a portable format
  • withdraw consent for marketing emails at any time

To use any of these rights, email hello.scoped@gmail.com or write to Scopebase, Office 22299, 182–184 High Street North, East Ham, London E6 2JA. We'll reply within one month.

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

7. Cookies

We use one essential cookie to keep you logged in securely. We also store a few settings in your browser, such as a job you started before signing up. We don't use advertising or tracking cookies, so we don't ask for cookie consent.

8. Keeping your data safe

Passwords are hashed, connections are encrypted, screenshots are stored privately and only our admin team can view them through short-lived links. Admin access is limited by role, and admin actions are logged. No system is completely risk-free, so please use a strong password that you don't use anywhere else.

9. Children

Scopebase is meant for adults. You must be 18 or over to create an account.

10. Changes to this policy

We may update this policy from time to time. We'll change the date at the top and, for important changes, let you know by email or on the site.
